FYI to those making reservations. Not sure if this is the same issue at all locations, but when I attempted to make reservations at Courtyard by Marriott, they said the VCA only blocked off the nights of the 27th through the 30th. If you were planning on arriving on the 26th (which I was since events start at 9ish on the 27th), you can't book under the block - you have to book separately.

Contact [email protected] and let them know. I don't see why you shouldn't be able to book the extra day.

Yes, and we just sent a return email with answers to your inquiry at VOI12.com and answered your previous emails also.

You will need to ask the hotels if you are arriving a day earlier or extending your stay.
Some have offered to extend the rates. Most of these hotels have very reasonably rates.
They can take care of everything over the phone just be sure to ask.

Our apologies for any inconvenience.

Did that. It's not that an extra day couldn't be booked, it was not under the group. Was told I would need to make two separate reservations and was just letting others know in case they encountered the same thing.

FYI The reception starts at 6 pm on Thursday Sept 27

That may be so, but there are events ahead of the reception.

9:30 a.m. - 10:15 a.m. – Petty Q&A Session – “What to expect at the track – Charlotte Motor Speedway” – Embassy Suites (Room TBD)

Either way, my post was simply to give people a 'heads up' when booking their hotel. Rather than pay "rack rate" for the extra day(s), it may make sense to shop online for those nights.

Will all of the VOI hotels have 'secured' Viper parking or only the main host hotel? TIA

I believe Only the host hotel. There will be enough parking to a accomadate all vipers at the host hotel and from what I understand there should be shuttles to get people to their respective hotels.

I believe there is another Petty Q&A Session in the afternoon (4pm or so) lfor those who arrive later. I had to pay the regular rate ($99) for Sunday night, but it's only $5.00 more.

wow thats some crap. even for business meetings you would never show up on the start date and leave after the event is over at night. plus the normal rate for the marriot is $149/night? **** me sideways.

Just so everybody understands just how close everything is for this VOI, here is a map of the properties and tracks. And yes, even walking the golf course is longer than the distance between the furthest hotel and Charlotte Motor Speedway:

hotels.jpg

As we reviewed potential locations for this VOI with SRT, all agreed that where you slept was secondary to the convention facilities and tracks. Even if you sleep at the very nearby Spring Hill Suites by Marriott (one of the nicer properties that has yet to book a single room under our block), you will be spending the majority of your VOI time at the Concord Convention Center (part of the Embassy Suites), zMAX Drag Strip, Charlotte Motor Speedway, scenic cruise, or off site dinner. Secure parking for all Vipers is available at the Convention Center/Embassy Suites, while trailer and truck parking will be available at the drag strip and speedway. Free shuttle service will be available between the Hilton Garden Inn, Springhill Suites, Wingate, and Embassy Suites. The Courtyard and Residence Inn are just across the parking lot from the Embassy Suites.

Questions? Drop us a note at [email protected] and let us know how we can help.

PS. While we did not note where the ******* was for Chad, it is right below the "F" in this photo. :D

Just called to verify everything at Embassy Suites and they didn't have my Thursday night reservation (which I had to make outside the block). Turns out I had made it for the week before :doh2: .

Trying to get in at the Marriot for the 27th. Sent an email to [email protected] for some help. If anyone knows of a room opening up at Embassy for Thursday night, then please shoot me a message.

I need a room at the Embassy Suites for Thursday night as well. I'm there for Friday and Saturday. A heads up on a room for Thursday would be great!

Thanks.

VOI staff won't allow our room rates to be used for just a Thursday night at the other hotels since we selected Embassy as our first option and booked early

The other hotels I called seemed receptive to giving me the VOI room rate for just Thursday night if the staff would just send them an email saying I was part of the group... but the VOI staff refuses.

I am looking at re-booking the whole thing now

We have you listed at the Spring Hill Suites hotel now at your request.
For those that choose the Embassy Suites upon registration the rooms are only available for Friday & Saturday at the VOI room rates.
This is also listed on the registration page.
You will have to find other accommodations for any other night required at a regular room rate. Most are very reasonable.
Thank you for understanding.

Submitted registration for the SpringHill. Even though it would be nice to go up to the room easily to change or get something, I need the $200 difference or so between Embassy for track gas money :drive:. Even without the bus it only looks to be about a mile walk. I hate to leave my car far away from me, but so are 399 other people right?

^^Thank you for setting me up at Spring Hill Suites

^^Yeah, I was surprised at the prices for Spring Hill bc it looks a bit nice than the others. I will now gladly take the $$ savings by staying there for 3 nights instead of embassy for 2.

I used Marriott points to get into the Residence Inn after it was sold out of VCA rooms. I guess that works!

I kinda of take back this statement. I thought all SpringHill Suites were the same and booked it based on the pics from their main site, apparently the Concord location did not get the memo.

Advertised Suite on Main SpringHill Site:
You must be registered for see images attach

Actual Concord SpringHill Suite:
You must be registered for see images attach

Maybe I am just being too picky

That doesn't look to bad, little wee cramped looking with that pillar there. I wonder if that 'living room' has a kitchen next to the sofa! LOL

I can vouch for two of the hotels in the area since I've been down there before. The Wingate, which is really nice, I stayed there last year and although not listed, the Comfort Suites, which I stayed at the year before. (That one I like cause if you get a 4th floor room you can see the race track from there!)

Also there's plenty to grab a bite to eat in the area. The ******* :D (great photo-op), Sonic, Bob Evans, Texas Roadhouse etc if your looking for a bite to eat while on the run.

From what I remember there's a Shell Station on the corner across from the hotels too. Of course local attractions are Concord Mills mall, the race shops, Sam Bass art shop (if your not familiar with Sam, he's the guy that designs all the paint schemes for the cup cars. VERY nice art I have a few pieces of his) and so on.
